Dear Prof. Haldar,

Thank you for your email concerning the current development in 4th AOSP conference. I have following points to response your this email:
1) First of all, I think that the most important thing is to let scientists of AOSP member societies know the information about the conference. Although people can find all necessary information from  your University Web site, it is still very necessary to have a distributable document on all information on the conference to send to all possible attendees. I suggest that you make a document including all necessary information on the conference, such as conference venue, date, organization, scientific topics, registration, hotel price and reservation, abstract submission, how to arrive in Varanasi, postconference tours and deadlines, and then send it to all AOSP member societies and their representatives. The member societies and their representatives should take responsibility to distribute the document to all possible attendees in their counties or area. I have already made a rather crucial document based on your website and will send to our Chinese colleagues (please find the attached  document).  We can know how many people from our county to participate the conference only when our people knows all necessary information on the conference.
2) I remember that in the last meeting of representatives in Beijing you promised that the registration fee would cover meals and hotel room rate. However, on your conference Web site, I could not find that the room charge is included in the registration fee, though the registration fee has been raised from original 250 to 350 US dollars. I wonder if you could clarify this situation?
3) The registration fee for AOSP Executive Committee and representatives was waived in last Beijing Conference. Is there any special offer for the representatives in this conference?
4) The cooperation between organizing Committee and the member societies of AOSP is important for recommending plenary and session invited speakers. Could you let us know your preliminary idea on the number of plenary speakers and the scientific fields of the invitation lectures?
5) I will do my best to encourage my Chinese colleagues to attend the Varanasi Conference. However, since Chinese scientists are not rich, the number of Chinese participants may be not exceed 10. I will let you know the most likely number of Chinese participants after distribution of your information document.

Wish you success in organizing 2008 AOSP conference.

Best regards

Xun Shen
President, AOSP
